I hadn’t applied for a visa yet. The trip was supposed to be next month.

Checked the official Vietnam evisa portal first. “Processing time: 3 working days.” It was Wednesday afternoon. Three working days meant Monday at best. Meeting was Friday morning Vietnam timeโThursday night for me.
Called the Vietnamese embassy in Berlin. Closed. Website said in-person applications take 5 working days. Express service: 3 days. Still too slow.
Googled “urgent Vietnam visa” and found dozens of agencies. Half looked legitimate. Half looked like they’d steal my passport data and sell it. Spent 45 minutes reading reviews, checking forums, looking for real experiences.
Hour 2-4: Taking the Risk
Picked an agency that had been mentioned positively on multiple travel forums. Website wasn’t fancy but the contact form worked. Submitted everything: passport scan, photo, travel dates, arrival airport.
$95 for urgent processing. Paid immediately. Got a confirmation email with a WhatsApp number for updates.
This was the nervous part. I’d just sent my passport details and money to a company I’d never heard of 6 hours ago.
Hour 4-8: The Wait
Nothing to do but refresh email. Tried to work. Failed. Checked spam folder eleven times.
Around hour 6, WhatsApp message: “Documents received and submitted. Estimated approval 4-6 hours.”
Actual human communication. That alone reduced my stress by half.
Hour 8-11: Resolution
Approval letter arrived at 2:47am Berlin time. PDF attachment with my name, passport number, valid dates, and a QR code. Instructions said print this, bring it to Vietnam, pay $25 stamping fee at immigration.
Printed two copies because paranoia. Packed. Slept three hours.
The Airport Experience
Landed at Tan Son Nhat 6am Friday local time. Followed signs to “Visa on Arrival.” Short queueโmaybe eight people. Handed over the approval letter, passport, one photo, and $25.
Officer stamped. Done. Whole process: 20 minutes.
Made the meeting with two hours to spare. Client never knew anything was unusual.

The Vietnam evisa system works fine for planned trips. But it has zero flexibility built in. When timelines compress, you need services designed for compression.
